Jay Cleveland Cty CVB
Hi Jay, Check the attached RFP for most answers and references.
Call with questions. June 23,24 and 25 this weekend is open for us and will work!
The Answers are:
1. Regarding the insurance. We will need a certificate naming the Cleveland County Sports Commission and the Cleveland County schools as a "named insured". Will Send Insurance Certificate when we confirm.
2. Has your organization been sanctioned by the North Carolina High School Athletic Association? This is not necessary, because players do not have any High School eligibility left. But we would like to have them involved, if they are not putting on their own game. Remember we will be bringing in players from 5 states, in including NC.
3. Regarding locker rooms. How many girls will you need space for? Will the guys be divided up into two 50 men teams? Done need lockers for girls, need 2 lockers for the boys 42 players per team, plus staff.
4. What happens if it rains? We play football!!!
5. What is the cutoff date for the pre-selling of tickets to the game? June 1st.
6. Who is responsibility for the cost of: security, clean up of the facility, a rescue squad, gate keepers, parking, athletic trainer, chain crew, clock keeper, PA announcer, game officials. (I can supply with names and numbers to provide these services if necessary)
These are items in the Bid fee, Put most of these we bring with us we are self contained, but love to have local help is we can get it.
7. Can we develop activities surrounding the game in order to attract a larger crowd?
Yes, we always do a combine, and other Youth activates are always good, Football Youth Camp for boys and girls, Cheer Camp and more.
8. What level of talent will be attracted to this event? Is it only for kids with money?
Each state puts out several hundred very good football players, so we have a large pool to choice from, and most state games only have 100 players, so many top guys don't get to play, like each team only has 2 QB's that 4 out of our state, I'm guessing there are many more quality QB's just in NC, that are very disappointed as are their parents that they will not get to play, in a all star game. By the reaction of the Parents in the past I know this is true, they get very excited when their son is chosen.
9. Regarding the banquet. What type of event do you want and is there a charge or budget that you use for the event?
The High school would like for you to consider them putting on a BBQ meal for the banquet. (We have great BBQ locally) YES!
10. What is the cost for sponsorship for a local player to participate in the event?
Same as most State High School games, we help the players get a $350.00 sponsor.
11. The head football coach was in attendance and was really excited about the possibility of having a combine. What do we need to do to make that happen?
We will be doing that, get me his name and I will contact him!
12. Can you give us a couple of references/previous region games for this particular event (All American HS game)?
We want to see how to make it a success not only for the players, but for our community, to get ideas. Yes the most recent game was in Charleston WV, Call Samantha, from the CVB. We do HS, College and Minor league games and the process and event is the same for all!
13. We would like to see the game played on Saturday evening if possible.
This would help attendance as well as deal more effectively with the heat.
That will work!
